The guide

Every tool, explained in plain words.

This is the help owners see inside the app, word for word: what each screen is for, the steps you take, and the questions people ask. Read it to see whether it fits how you work before you sign up.

Start to finish

From a customer finding you to the review they leave

Eight steps, most of them automatic. Each one links to the screen that does it.

  1. 1A customer finds your siteFrom Google, a referral or your flyer. They fill in the quote form or book a time directly.
  2. 2The request lands in RequestsYou see the job details and photos. You and the customer are both emailed.
  3. 3You send a quoteIn a minute, from the request. If the price book is on, the price is mostly done for you.
  4. 4Reminders chase it for youUp to three emails, in your daytime, until they answer or the quote runs out.
  5. 5They accept and pick a timeThe visit goes on your schedule, the customer is now in Customers, and the cleaners see it on their day sheet.
  6. 6The cleaning gets doneThe team ticks off the checklist and takes photos. The customer gets an "all done" email with the results.
  7. 7You invoice from the visitOne tap. The customer pays by card or your own way, and gets a receipt. A reminder goes if it falls overdue.
  8. 8A review request followsShortly after the visit, pointing at your Google listing. More reviews, more customers, and round it goes.

Every screen

What each part of the dashboard does

The same notes that sit behind the ? icons in the app, grouped by area.

Home

Where you land each day: what is booked, what needs you, and what is left to set up.

Home

Your day at a glance: today's visits, what needs you, and what is left to set up.

  1. "Today" lists the visits booked for today, with who is going.
  2. "Needs you" is the short list: new requests, accepted quotes with no time picked yet, overdue invoices and text replies.
  3. "Finish setting up" disappears once the checklist is done.

Website

Your public site is where customers find you, ask for a quote and book. Everything they do there turns up in the dashboard.

Website

Your public site: the pages, the quote form and the booking page. Everything customers do there turns up in the dashboard.

  1. Edit any page, its photos and words. Changes show on your site as soon as you publish.
  2. The quote form on your site creates a request. The booking page puts a visit on your schedule.
  3. Connect your own domain under Settings so the site is at your own web address.
Do I need to know anything technical to change my site?
No. Every page has an editor where you change words and photos, and the AI can write a first draft for you.
Where do the quote requests from my site go?
To Requests in the dashboard, and to your email at the same time.

Requests and quotes

A request is a customer asking for a price. You answer with a quote they can accept online, and reminders chase it for you.

Requests

Every quote request from your website's form lands here, along with any you add yourself after a phone call.

  1. A new request shows the customer, the job details and any photos they sent.
  2. Send a quote from the request. The customer gets an email with a button to view and accept it.
  3. Mark a request won when you have the job and lost when you do not, so the list stays about live work.
  4. Add a note to a request for anything said on the phone.
  • A request that goes a day with no quote or booking gets you a reminder email, because the first business to answer usually gets the job.
  • When the price book is on, the form shows customers a price as they fill it in, so many requests arrive already priced.
Someone rang me instead of using the form. Where do I put them?
Add a request yourself from the Requests screen. From there it works like any other: quote it, book it, invoice it.
What does "won" and "lost" do?
It keeps the list about live work and feeds the reports. A won request stops its quote reminders too.

Quotes

A quote is a price the customer can accept online. Once they accept, they pick a time and the visit goes straight onto your schedule.

  1. Choose what the quote covers, the price, and how long it is valid for.
  2. Optional extras let the customer add things to the job themselves, so you do not have to quote twice.
  3. Ask for a deposit if you want one. A deposit invoice goes out when they accept, and it is taken off the final invoice.
  4. Add a short personal message. It goes at the top of the email.
  • Sending a new quote for the same request replaces the old one. The customer only ever sees the latest.
  • You can see whether the customer has opened the quote on the request.
Can I change a quote after sending it?
Send a new one from the same request. It replaces the old quote and the customer gets the new email.
What happens when the customer accepts?
They are asked to pick a time there and then. The visit goes on your schedule and you get an email. If they do not pick a time, it waits under "Needs you" on Home.

Quote reminders

A quote the customer has not answered gets up to three reminder emails, so you do not have to chase it yourself.

  1. Reminder 1 goes two days after the quote, reminder 2 three days after that, and reminder 3 the day before the quote runs out.
  2. They go in your daytime only, and stop the moment the customer accepts or declines, the request is marked won or lost, or a visit is booked.
  3. "Send reminder now" sends the next one straight away. "Stop reminders" stops them for that one quote.
  • Choose how many reminders go, or turn them off, under Customer messages. You can also reword each one there.
A customer asked me to give them a week. How do I pause the reminders?
Open the request and press "Stop reminders" on the quote. "Resume reminders" puts them back on.

Schedule and team

Every booked visit, who is doing it, and what gets done there. Your cleaners work from a day sheet on their phone.

Schedule

Every booked visit, by day and week. Customers book from your site or from an accepted quote; you can add visits yourself too.

  1. Open a visit to see the customer, their home and access notes, who is going, and the checklist for the job.
  2. Assign a visit to a cleaner or crew. They get a day sheet on their phone with the address, notes and checklist, no login needed.
  3. When the cleaning is done, the visit is marked complete and you can send the invoice from it in one tap.
  • Customers get a reminder before each visit, and a text with the arrival window on the morning, if you turn that on.
  • A customer can move or cancel a visit from the link in their confirmation email, within the notice period you set.
How do I book a regular customer every two weeks?
Open the customer and set up regular cleaning. The visits are booked for you on the repeat you choose, and you can skip or move any one of them.
What if a customer cancels at the last minute?
Cancel the visit on the schedule. The notice period under Hours and booking decides how late a customer can cancel themselves online.

Team, crews and checklists

Your cleaners, the crews you send and where, and what gets done at each visit.

  1. Add each cleaner. They get a personal day sheet link for their phone: their visits, the address, access notes and the checklist.
  2. Group them into crews and assign visits to a crew in one go.
  3. Checklists list what gets done on each kind of job. The cleaners tick items off and take photos as they go, and you see it all.
  • The day sheet needs no login. If a cleaner leaves, remove them and their link stops working.
Do my cleaners need to install anything?
No. Their day sheet is a web page. Send them the link once and they can add it to their home screen.

Customers

Everyone you have dealt with, in one place: their home details, their history, your notes, and every message they have been sent.

Customers

Everyone who has asked for a quote or booked a visit, with their home details and everything that has happened with them.

  1. A customer is created the first time someone requests a quote or books, so you never type them in twice.
  2. Open a customer to see their visits, requests and quotes, invoices, notes and files, and every message they have been sent.
  3. "Home and access" holds how to get in, pets and preferences. It shows on every visit for that customer, so the cleaners always have it.
  4. Set up regular cleaning for a customer and the visits are booked for you on a repeat.
  • Export gives you a spreadsheet of all your customers for mailings or your own records.
The same person is in twice. Can I merge them?
Not yet. Keep the one with the history and delete the other; their old requests stay on the request list.
Can customers see their notes?
No. Notes, files and the "About this customer" box are only for you and your team.

Notes and files

Your own notes about a customer, with files attached: before-and-after photos, a signed agreement, a floor plan.

  1. Only you and your team see notes here. Customers never do.
  2. Attach a file to a note by dropping it on the box or choosing it from your phone.

Messages sent

Every email and text this customer has received from your business, newest first, so you can see exactly what they got and when.

  1. Open an email to read it word for word, as the customer saw it.
  2. Quotes, reminders, booking confirmations, invoices, receipts and review requests all appear here, along with every text.
  • Emails sent before this list existed were not kept, so a long-standing customer may show only recent ones.
A customer says they never got the quote. What can I check?
Open their page and look under Messages sent. If the quote is there, it went to the address shown; ask them to check spam, or resend it to a different address by sending a new quote.

Invoices and payments

Bill a finished visit, let the customer pay by card or your own way, and let the reminders and receipts take care of themselves.

Invoices

Bill a finished visit and get paid by card or your own way. Each invoice has a page where the customer can see it and pay.

  1. Send an invoice from a completed visit, or start one from scratch for any customer.
  2. The customer gets an email with a "View and pay" button. They can pay by card there if you take cards, or follow your own payment instructions.
  3. An invoice is "sent" until it is paid. Mark it paid yourself if they paid you in cash or by transfer; void it if it was a mistake.
  4. A deposit the customer already paid is taken off automatically.
  • An unpaid invoice gets one reminder email the day after it was due. Reword it under Customer messages.
  • Customers get a receipt by email when they pay.
  • Reports has a file of all your invoices and payments for your bookkeeper or QuickBooks.
A customer paid me in cash. What do I do with the invoice?
Open it and mark it paid. The customer gets a receipt and it counts in your reports.
I sent an invoice by mistake.
Void it. It is left out of your totals and the customer is not chased for it.
Can I charge a regular customer without sending an invoice each time?
With Stripe connected, a customer can keep a card on file. Invoices for their finished visits are charged to it automatically, and you can charge any other invoice to it with one tap.

Payments

How customers pay your invoices: by card through Stripe, your own way, or both.

  1. Connect Stripe to take card payments. The money goes to your own bank account; Stripe charges its usual card fee.
  2. Write your own payment instructions for customers who pay by cash, cheque or bank transfer. They appear on every invoice.
  3. With Stripe connected, a customer can keep a card on file so repeat visits are charged without them doing anything.
Do I have to take cards?
No. Write your own payment instructions and every invoice shows them. Cards are there when you want them.

Reports

Where the work comes from, and the files your bookkeeper needs.

Reports

Where your customers come from, and files for your bookkeeper.

  1. Lead sources shows which of Google, your website, referrals and the rest brought in the requests and the money.
  2. Export your invoices and payments as a file for QuickBooks or any spreadsheet.
  3. Copy the "Book online" link for your Google listing, so people can book straight from Google.
How does it know where a customer came from?
From the link they clicked to reach your site, and from the "how did you hear about us" answer on the quote form when there is one.
Which file do I give my bookkeeper?
The invoices and payments export. It opens in any spreadsheet and imports into QuickBooks.

Settings

The things you set once: your prices, your hours, and the messages customers get.

Price book

What each part of a job costs and how long it takes. With it on, your quote form prices the job as the customer fills it in.

  1. Set a price and a time for each part of a job, and any extras.
  2. Turn the price book on and the form shows the customer a price straight away, which brings in more requests.
  3. Turn it off and the form only collects the details; you quote by hand.
  • The price shown is a starting point. You can still change it when you send the quote.

Customer messages

Everything your customers get automatically, and the wording of it. Every message goes from your business name, with replies coming to your email.

  1. Switch each kind of message on or off: visit reminders, arrival texts, quote reminders, invoice reminders, review requests.
  2. Choose how many quote reminders go, from none to three.
  3. Reword the reminder emails in your own voice. The placeholders in braces fill in the customer's name, the price and so on.
  4. "Send me a test" emails you the message with sample details, so you can see exactly what customers will get.
  • Add your Google review link so the review request after a visit sends customers straight to your listing.
  • Every change here saves as you make it.
Can customers reply to these emails?
Yes. Replies come to your business email, the one under Business info.

Hours and booking

When you work, what customers can book, and how much notice you need. The online booking page offers only times that fit.

  1. Set your working hours for each day, and your time zone.
  2. Booking types are the jobs customers can book directly, each with its length.
  3. Set how much notice you need, and how many jobs can run at once if you have more than one crew.
